What does this process cost you today?
Pick a process that runs by hand. Twelve questions, about three minutes. Afterwards you know what it costs per year and how much of it could run by itself. No sign-up, and you can share the result as a link.
Or look at an example:
From an estimate to a number you can check
The video shows the path in under a minute. Below are the details for each step.
- 1
Estimate
in the calculator, about three minutes
In the calculator you enter case volume, time per case, people involved and errors. From that comes what the process costs per year today. You see every assumption and can change it. In the 30-minute initial call we then check together whether the estimate fits your day-to-day. If automation does not pay off, we say so.
- 2
Measure
in the workshop, 2 to 3 hours
In the workshop we assess how the process runs today, together with the people who know it, and re-measure what you estimated. Your estimate becomes the baseline: the state that everything later is compared against, including the ROI.
- 3
Prove
in the project
Before anything is implemented, we agree on the metrics (KPIs) by which we measure success. After go-live we measure the same figures from the system and set them against the baseline. From that we work out costs and benefits, and with them the ROI. Every number can be checked.
- Goal
Cheaper processes
in operation
The process should run cheaper overall, so that the ROI turns positive. Costs arise over the course of the project. First benefits can appear before go-live, because you understand the process better. After that they grow with every case that runs by itself. Once the benefit catches up with the costs (break-even), the project pays off. Whether and when that happens for you is shown by the measured figures, not by a forecast.
What we compare before and after
The same four measures as in the calculator.
| Measure | Before (baseline) | After |
|---|---|---|
| Cases per year | your estimate, re-measured in the workshop | counted from the system |
| Working time per case | your estimate, re-measured in the workshop | derived from the system |
| Errors and rework | your estimate, re-measured in the workshop | counted from the system |
| Waiting time from receipt to done | your estimate, re-measured in the workshop | derived from timestamps |
The calculator estimates what the process costs today and names neither break-even nor ROI. The workshop measures today's state, the project proves the change, and only from that do we work out the ROI. We agree with you which metrics matter for your process before we start.

What would be freed up
A rough estimate based on your answers. How much it really is only becomes clear when we look at the exceptions.
- hours per year for the work people are actually there for
Adjust assumptions and see how it is calculated
How it is calculated: cost today = cases per year × minutes per case × hand-over factor (one person 1.0, two 1.15, three or more 1.3) × hourly rate, plus cases × error rate × cost per error. The share that could be automated is estimated from input, rules and number of systems, shown with a range of ±10 percentage points. For errors we assume they become 80% less frequent in the automated part. All estimates based on your answers, not a promise.
