For mechanical and plant engineering

The machine is automated. The quote is not.

On the shop floor, a lot runs by itself. In sales, purchasing and service, on the other hand, people still retype data, chase up details and maintain Excel lists. That is where we come in: the processes between your software and your departments.

The ERP stays. If there is no suitable interface, we look at other options together with your IT. Machine control and production are not our field. Everything around them is.

of employees in mechanical and plant engineering will reach retirement age in the next ten years. A lot of knowledge about customers, parts and special cases goes with them.

Where things get stuck

Four processes that are done by hand almost everywhere in mechanical engineering. We will show a project of our own in mechanical engineering here as soon as we are allowed to. Until then, we tell you where we know the pattern from.

  1. Enquiries and spare parts enquiries

Customers send emails with photos, drawings and parts lists. Someone reads them, looks up the parts and types the quote into the ERP. AI reads the enquiry, checks whether all details are there and asks for anything missing.

  2. Purchase requisitions and approvals in purchasing

The requisition as a form, approval through the chain of line managers, signed digitally and filed. Nobody has to ask any more where the requisition is.

  3. Item and customer data in several systems

A new item, a new customer, a new address: maintained by hand in the ERP, in Excel and in other software. Entered once, it arrives everywhere.

  4. Order confirmations and delivery dates

Suppliers confirm by email and PDF, often with changed dates. They are checked against the order by hand, so differences are noticed late.

From a project: a trading company with an ERP

When every enquiry looks different.

Together with the people who handle customer enquiries, we looked at how their work runs. It turned out that not only the typing took time, but also the follow-up questions when details were missing.

Today an assistant reads every enquiry from the email and its attachments, checks whether all details are there and asks the customer for anything missing. The data goes into the existing ERP. Many spare parts enquiries in mechanical engineering look exactly like this.

Before

  1. Email with attachment
  2. read, look up parts
  3. type into ERP
  4. ERP

Today

  1. Email with attachment
  2. AI reads, checks, follows up
  3. Team handles special cases
  4. ERP

What you can expect from us

The ERP stays.

No system change. We connect ERP, inbox and Excel. If there is no suitable interface, we work out with your IT which other route will work.

AI where every enquiry looks different.

Photos, drawings, free text: that is where AI helps with reading. Where a fixed rule is enough, we use the fixed rule.

Knowledge that does not retire with your people.

What today only the experienced colleague in the sales back office knows is documented afterwards and keeps working.

Honest when it does not pay off.

We calculate beforehand what a process costs. If it does not pay off, we tell you.

Do the maths yourself

How we get started with you

  1. 1 / 4

    Initial call

    30 minutes, free of charge

You tell Matthias which process is costing you time right now. He listens, asks questions and tells you honestly whether we can help. No preparation needed, an example from your everyday work is enough.

    Result

An honest assessment of whether a next step is worth it.

  2. 2 / 4

    Workshop

    2 to 3 hours

We sit down with you and the colleagues who run the process every day. They show us how it really works, with all its exceptions. Then we work out together what the process costs today.

    Result

An order of priorities, a calculation and material you can put in front of management.

  3. 3 / 4

    First project

    one process with noticeable relief

We start with the process where the relief is felt fastest. Beforehand we agree how we will measure success. Your team tests with real cases and tells us what doesn't fit yet.

    Result

A process that runs in everyday work.

  4. 4 / 4

    Expansion and operation

    the way you want it

Once the first process runs, you decide how to continue. Further processes use the same connections and are added faster. We take care of operation, or we hand everything over to your IT with documentation.

    Result

A documented solution that does not depend on us.

Who on your side is involved

You

You bring the process and champion the project internally. From us you get an order of priorities, a calculation and material for management.

The people in the process

They know the exceptions and where things get stuck. That is why they are involved from the start, not only at roll-out.

Your IT

They work out with us access, where it runs and which connection to your software is possible and sensible.

Where is data still being retyped in your company?

Tell us about it. In the initial call you get a first honest assessment of whether automation pays off for you.
