Process hub: workflow interface for cases, tasks and approvals

For everything a person checks, corrects or approves, you need a place that fits your process: overview, task list and approval in one spot. We call it a process hub.

What we often hear

"Where do my people see and steer what runs automatically, and where do they check what the machine suggests?"

Today

  1. Inbox
  2. search, ask around
  3. update the list
  4. ERP

Afterwards

  1. Inbox
  2. read, suggest
  3. check and approve
  4. ERP

  • pink: runs by itself
  • blue: a person decides here

What changes

One place for every case.

New cases arrive in one spot. Everyone sees what came in, what the machine made of it and where something needs attention.

The machine suggests, you decide.

You check the suggestion, correct what is wrong and approve. Exceptions go visibly to a person instead of getting lost.

Built for your process, with the people who know it.

The process hub shows exactly this one process and is designed with the people who run it every day. Your existing software stays, ERP and specialist software are not replaced.

From a single case to a hub

A process hub starts small and only grows if it helps you.

  1. 1

    One view for one process

You see the cases of this one process, check the machine's suggestions and approve. That is where it starts.

  2. 2

    Your task list

What is open, what is done, where do you need to contribute? Everyone sees what is waiting for them and can find later what was done.

  3. 3

    Overview across several processes

When more processes are added, this can become a shared hub: status and reports for all running processes in one place. It can happen, it doesn't have to.

What this looks like in projects

Four interfaces from our projects, rebuilt with invented data.

A trading company, technical wholesale

Checking enquiries: the machine reads, the team decides

An enquiry arrives as an email with an attachment. The assistant reads it and matches the items to suitable entries in the existing system. Where it is not sure, it makes suggestions and points out conflicts. The team sees the source in the email and decides for itself, even when nothing fits. If the assistant is wrong, the team writes what would have been right. These cases feed into the next stage.

AlbWerk, energy supplier

Purchase requisition on the phone: four steps to approval

Whoever needs something starts a new case in the app. First there are two questions, for example whether quotes are available and whether a value limit is exceeded. Then come the basic information, the items and a summary to check. After that the requisition goes to approval, digitally through the responsible managers. Under "My cases" everyone sees where their own requisitions stand: in approval, approved or archived.

AST, occupational safety training

Training day: trainers and participants in one application

The trainer sees the day at a glance: which trainings are running, who is there and who passed the knowledge test. Attendance and completion for each day are confirmed with one click. Participants check in themselves: they enter their name, the application finds their training, and they check or complete their details before they are checked in. Anyone who joins on the day is added. A QR code on the poster leads to the check-in.

An administration

Process monitor: process list, rating, implementation and reports

Hundreds of processes in one application instead of an Excel file: process management shows all recorded processes with responsibilities and filters. The rating ranks them by digitalisation potential, the implementation view shows progress per process, with comments and history. Reports show how the digitalisation levels develop over time and can be exported to Excel. Every change is logged.

How the process hub comes about

What it has to show is known by those who run the process every day. That is why we start with four questions to them.

  1. 1

    Who decides what?

Check, correct, approve: who takes which step?

  2. 2

What does the person need to see to decide?

Not everything, but what makes the decision easy.

  3. 3

    What happens with the exception?

It should visibly land with a person instead of getting lost.

  4. 4

How do you find it again later?

Who approved what and when, what is open, what is done?

What a process hub is not

Not a new large-scale system.

It shows exactly one process. Your software stays, ERP and specialist software are not replaced.

Not needed for every process.

If the normal case runs through without a check, such as an overnight report, a process in the background is enough. We will tell you if you don't need one.

Not a dashboard for everything.

It shows what is needed for a decision or a task, and nothing beyond that.

How we get started with you

  1. 1 / 4

    Initial call

    30 minutes, free of charge

You tell Matthias which process is costing you time right now. He listens, asks questions and tells you honestly whether we can help. No preparation needed, an example from your everyday work is enough.

    Result

An honest assessment of whether a next step is worth it.

  2. 2 / 4

    Workshop

    2 to 3 hours

We sit down with you and the colleagues who run the process every day. They show us how it really works, with all its exceptions. Then we work out together what the process costs today.

    Result

An order of priorities, a calculation and material you can put in front of management.

  3. 3 / 4

    First project

    one process with noticeable relief

We start with the process where the relief is felt fastest. Beforehand we agree how we will measure success. Your team tests with real cases and tells us what doesn't fit yet.

    Result

A process that runs in everyday work.

  4. 4 / 4

    Expansion and operation

    the way you want it

Once the first process runs, you decide how to continue. Further processes use the same connections and are added faster. We take care of operation, or we hand everything over to your IT with documentation.

    Result

A documented solution that does not depend on us.

Who on your side is involved

You

You bring the process and champion the project internally. From us you get an order of priorities, a calculation and material for management.

The people in the process

They know the exceptions and where things get stuck. That is why they are involved from the start, not only at roll-out.

Your IT

They work out with us access, where it runs and which connection to your software is possible and sensible.
