For public authorities, district administrations and municipalities

Hundreds of processes. Where do you start?

That is how many administrative processes come together at an administration we work with. Tackling them all at once is not possible. We help find the right ones to start with, and then automate the routine work between specialist software, Excel and inbox.

The specialist software stays. It runs on your premises or in a data centre in Germany. And the staff are involved from the start.

Where things get stuck

Four processes we would start with. For the first two, we show what we have built at an administration. For the others, we say honestly that this is the pattern.

  1. Map processes and tackle the right ones first

Every process is recorded and assessed with its frequency, lead time and media breaks. This shows where digitalisation pays off first, and what has already been done.

  2. Excel lists that carry an entire procedure

One very wide spreadsheet for all processes, maintained by many people. Today it is a tool with one shared version for everyone and a history for each process.

    replaced at an administration

  3. Applications and incoming documents into specialist software

Applications arrive by email, form and PDF and are copied into the specialist software by hand. Missing details are requested by follow-up. We automated this pattern for enquiries at a trading company.

typical process, no project of our own at a public authority yet

  4. Reports that update themselves

Figures from several specialist systems are pulled together by hand before every meeting. Merged automatically, with a page showing where each figure comes from.

From a project: an administration with hundreds of processes

First the overview, then the order.

The organisation's processes were maintained in a very wide Excel file. The list had grown with the task, and the more processes were added, the harder it became to work out an order from it.

Today a tool records every process with its frequency, lead time and media breaks. It assesses the potential, logs changes for each process and shows what has already been implemented. That turns a list into an order you can justify.

Before

  1. Excel, very many columns
  2. send round by email
  3. reconcile versions
  4. Gut feeling

Today

  1. Map processes
  2. Assess potential
  3. Organisation decides the order
  4. Progress visible

What you can expect from us

Run on your premises or in Germany.

Hosted on your premises or in a data centre in Germany. AI only where it helps, with local models for sensitive data.

Specialist software stays.

We do not replace any specialist software. We connect it with the work around it that is still done by hand.

With the staff, not over their heads.

Routine work goes, not people. We look at the processes together with the people who know them. That also helps in conversations with the staff council.

Independent and ready to hand over.

Handed over with documentation, built with open tools, so your solution does not depend on us.

How we get started with you

  1. 1 / 4

    Initial call

    30 minutes, free of charge

You tell Matthias which process is costing you time right now. He listens, asks questions and tells you honestly whether we can help. No preparation needed, an example from your everyday work is enough.

    Result

An honest assessment of whether a next step is worth it.

  2. 2 / 4

    Workshop

    2 to 3 hours

We sit down with you and the colleagues who run the process every day. They show us how it really works, with all its exceptions. Then we work out together what the process costs today.

    Result

An order of priorities, a calculation and material you can put in front of management.

  3. 3 / 4

    First project

    one process with noticeable relief

We start with the process where the relief is felt fastest. Beforehand we agree how we will measure success. Your team tests with real cases and tells us what doesn't fit yet.

    Result

A process that runs in everyday work.

  4. 4 / 4

    Expansion and operation

    the way you want it

Once the first process runs, you decide how to continue. Further processes use the same connections and are added faster. We take care of operation, or we hand everything over to your IT with documentation.

    Result

A documented solution that does not depend on us.

Who on your side is involved

You

You bring the process and champion the project internally. From us you get an order of priorities, a calculation and material for management.

The people in the process

They know the exceptions and where things get stuck. That is why they are involved from the start, not only at roll-out.

Your IT

They work out with us access, where it runs and which connection to your software is possible and sensible.

Which process is costing you the most time right now?

Tell us about it. In the initial call you get a first honest assessment of whether automation pays off for you.
